New Checklist

Pimics allows you to control completeness of your data and verify it based on a defined checklist. On the basic level, the user is able to fill Recording part on the Checklist Card with fields of the following classes: Item, Item Group, Product Group, Chapter, Catalog Group, Group System, Publication, Extended Text, Template, Document, Picture Document, Graphic Document, Media, Feature, Value, Keyword, Feature Group and Class.

To create a checklist for the class Item

  1. Choose the Search icon, enter Checklists (Quality management/Checklists), and then choose the related link.
  2. Click on New to create new checklist.
  3. On the General FastTab, fill in the fields as necessary:
    1. In the field Code, enter the name of the new checklist, for example Item.
    2. In the field Description, enter the appropriate text, it can be the same as in Code.
    3. In the Class field, select Item.
  4. On the Recording FastTab, click on Field Number and select field you want to check within Checklist:
    • Description
    • Base Unit of Measure
    • Unit Price
    • Standard Item Group
    • Picture Document ID
    1. Select Recording type for each line with the field:
    • Required - field has to have a value.
      • Set Required for fields Description, Base Unit of Measure, Unit Price
    • Recommended - field should have a value but does not block anything
      • Set Recommended for fields Standard Item Group
    • Optional - field is optional
      • Set Optional for fields Picture Document ID
  5. On the Relations FastTab, untick the active button on the line with Feature.
  6. On Home Ribbon Tab click on Certify.
  7. Confirm dialog “Do you want to recertify all master data”.
  8. The System Status has changed to Certified (see more System Status).
  9. The certified checklist for Item is ready to use. Note: Checklist uses the last certified version.

Certify Item

In the following steps, we will use the created checklist to certify the item, we will look at the Certification Log and explain the messages.

Certification Log contains a list of warnings and errors for class (entity), which has been certified via button Certify.

Warning – Messages related to Recording type – Recommended. They alert us that the field or fields should contain value(s). The class entity can be certified with warnings.

Error – Messages related to Recording type – Required. They alert us that the field or fields have to have value(s). The class entity cannot be certified with errors.

  • Existing item with values in fields Description, Base Unit of Measure, Unit Price (see more New Item)

To certify an Item

  1. Choose the Search icon, enter Items (Product Information/Items), and then choose the related link.
  2. Select the Item, which you want to certify.
  3. On the Pimics - General FastTab, fill in the fields as necessary:
    1. In the Checklist No. field, select a checklist for item.
  4. Check followings fields:
    • Description - has value
    • Base Unit of Measure - has value
    • Unit Price - has value
    • Picture Document ID - is empty
    • Standard Item Group – is empty
  5. In the Ribbon, select Certify in Actions under Quality Management.
    • Field System Status has changed to Certified
  6. In the Ribbon, select Certification Log in Actions under Quality Management (see the warning for Standard Item Group).
  7. Item has been certified.

Advanced checklist with relations

In many situations, product information contains some extended rich texts, digital media or classification. To ensure that master data does not miss such information, the checklist allows checking existing relations with digital assets and classifications.

To check item group information and an existing feature group Sizes

  1. Choose the Search icon, enter Checklist (Quality management/Checklists), and then choose the related link.
  2. Click on New to create new checklist.
  3. On the General FastTab, fill in the fields as necessary:
    1. In the field Code, enter the name of the new checklist, for example ITEMGROUP.
    2. In the field Description, enter the appropriate text, it can be the same as in Code.
    3. In the Class field, select Item Group.
  4. On the Recording FastTab, click on Field Number and select field you want to check within Checklist:
    • Field Description, set Recording Type = Required
    • Field Picture Document ID, set Recording Type = Recommended
    • Field Standard Product Group set Recording Type = Recommended
  5. On the Relations FastTab:
    • click on the first line and select Features in the What field
    • for this line select Condition Exists
    • Click on Filter,
      • select field Line Type and fill the value ‘Feature Group’
      • on the next line, select type Description, fill the value Sizes
      • close the filter
      • make sure, the line with Features has ticked checkbox Active
  6. On Home Ribbon Tab click on Certify.
  7. Confirm dialog “Do you want to recertify all master data”.
  8. Go to Item Group list and open Item Group which should contain the feature group Sizes with set values (Product Information/Item Group).
  9. On the Item Group, select in the field Checklist Number ITEMGROUP.
  10. In the Navigate Ribbon Tab, click on Certify.

Task and Workflows

Pimics includes a workflow module, where you can define different ways how to work with data and information. For example, you can set up workflow that automatically generates tasks for users based on run control according to a list of suggestions and errors. The user will see this task information as a notification on the homepage.
