Key concepts: Pimics and SharePoint
Before deleting files, keep this distinction in mind:
- SharePoint stores the physical files
- Pimics stores references (assignments) to those files
Scenario 1: Delete pictures from one item
Use this process when you want to remove digital asset assignments directly from one item.
- Open the relevant PIM Item Card.
- Under Product Data, click Pictures.
- In Catalog Pictures, select the relevant pictures.
- Select Delete on the top action bar.
Alternative way for one picture assignment:
- Go to Digital Assets > Pictures.
- Select the relevant picture line.
- On the right side, find Where used under Details.
- In Where used, locate the item that should no longer use this picture.
- Select the three dots (...) on that line and choose Delete Line.
Note
This action deletes file assignments for this item in Pimics. The original physical file still remains in SharePoint.
Scenario 2: Bulk update after many files were changed in SharePoint
Use this process when many pictures or documents for multiple items are updated or deleted in SharePoint, and Pimics needs bulk cleanup.
Step 1: Delete assignments in Pimics
- Search for Catalog Documents and select the relevant line.
- On Catalog Documents page, In the catalog documents list, apply these filters:
- File Missing = Yes
- Inherited = No
- Review the filtered list and select relevant assignments.
- Choose Delete.
Result: Image assignments or references are removed from Pimics.
Step 2: Optional periodic cleanup of outdated picture records in Pimics
- Go to Digital Assets > Pictures.
- Apply this filter:
- File Missing = Yes
- Select relevant lines of pictures.
- Choose Delete.
